Payroll FAQ
Is a Nanny Payroll Service necessary?
Once you have hired a Nanny, Housekeeper or Au Pair, as the employer you are legally responsible for submitting the correct tax and NIC payments to HMRC. Lily's Payroll Service team will liaise with HMRC on your behalf and take care of the administrative requirements that come with being responsible for your nanny’s payroll.
How long does it take to set up the nanny payroll service?
Once you have provided Lily’s Payroll team with all the necessary information, the service will be set up. The normal delivery is between two and ten working days, as they aim to complete the process as soon as possible.
Employer requirements: What is required from the employer to set up the nanny payroll service?
1. Completed a Lily’s Payroll request for information form (required by HMRC)
2. Employer’s National Insurance number
3. Employment information (start date, working days/hours, rate of pay)
4. Nanny’s P45 or new starter’s checklist
Payslip frequency: Can my nanny/employee be paid weekly, fortnightly or monthly?
Lily’s Payroll service caters to your requirements - The employer has the option of paying their nanny weekly, fortnightly or monthly.
Payslips: Will my nanny/employee receive a payslip?
Lily’s Payroll will provide the employer and employee with access to an online portal whereby they can access all relevant payslips and documents.
Holiday Entitlement: How many days holiday is my nanny/employee entitled to?
As a general rule, holiday entitlement works out to be the number of days worked per week x 5.6. However, this can vary if the nanny/employee works on a temporary basis or less than 5 days per week. Lily’s Payroll will formulate the correct holiday entitlement upon setting up your Payroll subscription.
Sick pay: What happens if my nanny is sick?
our nanny qualifies for Statutory Sick Pay (SSP) if they have been off work sick for four or more days in a row (including non-working days).
Maternity: What happens if my nanny becomes pregnant?
As per the HMRC compliance advice to qualify for SMP (statutory maternity pay) the employee must:
1. earn on average at least £120 a week
2. give the correct notice
3. give proof you’re pregnant
4. have worked for your employer continuously for at least 26 weeks up to the ‘qualifying week’ - the 15th week before the expected week of childbirth
The employee is entitled to statutory maternity leave if they have been under employment for more than 15 weeks. The employer must keep your post available to you for a period of 39 weeks. At least 15 weeks before your due date, tell the employer when the baby is due and when you want to start your maternity leave. Your employer can ask for this in writing. The employer must write to the nanny within 28 days confirming their start and end dates.
Multiple jobs: What if the nanny has two jobs?
If the nanny has two jobs, it may affect the amount of tax paid. Lily’s Payroll team will work with you to ensure you are paying the correct amount of tax.
HMRC Liaison: Will the Employer have to deal with HMRC when using Lily’s Payroll Nanny Payroll Service?
Lily’s Payroll team will liaise with HMRC on the employer’s behalf, so they will not need to worry about missing payment deadlines, long waits on telephone lines and trying to make sense of tax intricacies. Lily’s Payroll will send to the employer a reminder when and how to pay the relevant tax for their nanny.
Employment contracts: Can Lily’s Payroll prepare an employment contract for the Employer to use with the new nanny?
Lily’s Payroll will provide a bespoke employment contract service to ensure both the Employer and the Nanny are protected during their time of employment.

Workplace pensions: Am I responsible for setting up a workplace pension for my employee?
Under the new workplace pensions reform, every employer in the UK must put their employees into a pension scheme if they are: Aged 22 or over and are under state pension age AND/OR Earning over £192 gross per week (or £833 gross per month).
Lily’s Payroll provides a fully managed workplace pension scheme for our clients. Please be aware that if you do not comply with the new pension reforms you will be sent a penalty notice by the Pensions Regulator.
